TakingITGlobal (TIG) is seeking an Office & Bookkeeping Assistant to take part in a 4-month volunteer internship placement in our Toronto office.

TakingITGlobal is an international organization lead by youth, empowered by technology. TakingITGlobal (TIG) connects youth from around the world to find inspiration, information and get involved in improving their local, regional and global communities.
TakingITGlobal’s mission is to provide opportunities for learning, capacity building, cross-cultural awareness, and self-development through the use of Information and Communication Technologies. Its key strategic initiatives include; providing a virtual space for cross-cultural expression, dialogue, networking and collaboration among youth, supporting youth action and understanding around global issues, developing rich interactive, global education experiences, and facilitating the development of local content, multilingualism and skills training.
TakingITGlobal has approximately 20 staff based in Toronto and an additional staff who work part-time in different parts of Canada and around the world as well as hundreds of volunteers. Supporters include RBC Financial Group, Microsoft, the Government of Canada, the McConnell Foundation and Gordon Foundation.
Roles and Responsibilities
Office Administration (80%)
Serve as a front-line contact by responding to phone calls and re-directing phone calls or taking messages for other team members
Respond to general inquiries and e-mail correspondence to TakingITGlobal or forward to appropriate team member
Sorting current and past files and contacts
Preparing packages to be shipped including labels
Digitizing and organizing business cards and contact information
Assist in organizing staff in-office events such as staff gatherings and assist with organizing more public events such as an open house
Support knowledge management and transition by ensuring thorough ongoing back-up of all staff files both on the TIG server and the Intranet
Maintaining and adding content to the TakingITGlobal website via the user- friendly admin system. This would include approving and adding organizations, events, scholarships, articles and other aspects of content in English, French and any other languages spoken.
Supporting program managers with additional administration tasks when required
Bookkeeping/Accounting Assistance (20%)
Data entry and cash flow; monitor and control across projects
Accounts payable duties and managing calendar, formalizing requests
Expense reporting entry and review for staff
Sorting of current and past files
Some clerical/administrative functions as required
Liaising with office management
College or Undergraduate recent graduate or student
Detail oriented and well organized
Good written and oral communication skills, as well as interpersonal skills.
Ability to work in a fast-paced office environment with multiple priorities
Proficient on MS Office (PowerPoint, Word, Outlook)
Advanced working knowledge of Microsoft Excel
Ability to complete data entry duties with a strong attention to detail
Working knowledge of Quickbooks Accounting Software
A solid understanding of the Reconciliation Process
An understanding of payroll preparation and concepts
Familiarity with budget planning and preparation
Effective time management, prioritizing and organizational skills
